1. About This Policy
This Privacy Policy describes how The Griot Project, a program operated by Red Boot LLC ("We," "Us," or "The Program"), collects, uses, stores, and protects personal information when you use the Your Circle platform ("Platform") at app.yourcircle.co.
This Policy applies to all users of the Platform, including program participants ("Mentees"), volunteer mentors ("Mentors"), and program administrators. By registering for or using the Platform, you agree to the collection and use of information as described in this Policy.
2. Information We Collect
Registration Information
When you register for or are invited to the Platform, we collect: full legal name, email address, date of birth (for age verification), phone number (optional), city and state of residence, and IP address at the time of account creation and at the time of each electronic agreement signature.
Profile Information
You may voluntarily provide: a biographical statement, LinkedIn URL, Instagram handle, profile photo, and profile visibility preference.
Assessment Data
You may upload screenshots or PDF results from career and personality assessments including MBTI, DISC, O*NET Interest Profiler, and optional assessments (Human Design, Enneagram, Zodiac/Astrology, Spiritual Gifts Inventory). These are used to generate career direction reports with mentor oversight.
Program Activity Data
We collect weekly check-in responses, goal records, direct messages between mentees and mentors, career direction reports, uploaded documents, and platform usage patterns.
Legal Agreement Records
When you sign our electronic agreements, we record your full legal name, the date and time of signature, your IP address, and the agreement version.
Communications Data
All messages and communications on the Platform are stored and visible to program administrators and assigned mentors for safety, quality assurance, and compliance purposes, as disclosed in our Terms of Service.
3. How We Use Your Information
We use your information to: deliver the mentorship program and facilitate the mentor-mentee relationship; send program communications; monitor communications for safety and mandatory reporting obligations; verify age eligibility; maintain audit logs; track program outcomes for grant reporting; generate anonymized aggregate reports for funders; and comply with applicable law.
4. AI-Assisted Processing
The Platform uses the Claude API (developed by Anthropic) to assist with generating career direction reports and drafting mentor responses. All AI-generated content is reviewed and approved by a human mentor before delivery to a mentee. We do not use your data to train AI models.
5. How We Share Your Information
Your assigned mentor can see your check-ins, goals, assessment uploads, and messages. Program administrators can see all platform communications. Other participants can see your profile only if you set visibility to Public.
We may share aggregate, anonymized data with funders for grant reporting. We do not share personally identifying information with funders without your written consent, except as required by law.
We are required to report certain disclosures to appropriate authorities, including reasonable suspicion of abuse, disclosures of intent to harm self or others, and domestic violence, as required by North Carolina law.
We use the following service providers: Supabase (database and file storage, SOC 2 Type II certified), Anthropic (AI processing), Resend (email delivery), and Lovable (application hosting). We do not sell your personal information.
6. Data Retention
Active participant data is retained for the duration of your program participation plus 3 years. Electronic agreement signatures are retained indefinitely. Audit log records are retained for 7 years. You may request deletion of your data subject to these retention obligations.
7. Data Security
We implement row-level security on all database tables, encrypted file storage with time-limited access URLs, invite-only registration, session controls, audit logging, and HTTPS encryption. No electronic transmission is 100% secure.
8. Your Rights
You may request access to, correction of, or deletion of your personal information by contacting the Program Director. We respond to requests within 30 days, subject to legal retention obligations.
9. Children's Privacy
The Platform is not directed to anyone under 18. We do not knowingly collect information from minors. If you believe we have done so, contact us immediately.
10. Age Verification Compliance
We collect date of birth at registration in compliance with the California Digital Age Assurance Act (AB 1043, effective January 1, 2027) and similar laws in other jurisdictions.
11. Governing Law
This Policy is governed by the laws of the State of North Carolina. Disputes shall be resolved in the appropriate courts of Guilford County, North Carolina.
12. Changes to This Policy
We may update this Policy at any time. Material changes will be communicated via the Platform. Continued use constitutes agreement to the updated Policy.
